How it Works - Student Cards

At Intrinsiq, our "How It Works" series is all about highlighting those smart, time-saving features that make life easier for schools in the international education industry. Today, we’re diving into one of those often-overlooked but essential tasks: getting student cards ready. Whether you prefer to handle it on the student’s first day or get ahead of the game with a digital request before arrival, Intrinsiq gives you two streamlined options to get those photos in the system. 

Option 1: Manually on First Day 

Step 1: Go to ‘Student Search’ 

Step 2: Run a search for students whose course starts today. 

Step 3: Sort the list alphabetically by name 

Step 4: Make sure the Photo Upload field is selected to show in the results 

Step 5: Take the student’s photo, find their name on the list, and upload it directly 

Option 2: Digital Upload Ahead of Arrival 

Prefer to save time on intake day? Get students to upload their photos in advance with just a few clicks: 

Step 1: Go to Student Search   

Step 2: Run a search (Criteria – Status: Confirmed, Photo Checked: False)  

Step 3: This loads a list of confirmed students without a photo. Click Select All.  

Step 4: Click Email > Dynamic Email  

Step 5: Choose ‘Photo’ Request Template  

Step 6: Click Send  

Each student gets a personalised link with clear instructions on how to upload a suitable photo. Easy for them, easy for you. 

As students start uploading, the dashboard will automatically update. Staff can mark each photo as checked, or remove it and resend the request if needed.
