Intrinsiq Support: Diary-like System

Imagine this scenario...Imagine that you have a student who books a course, and then, a few days before he arrives at the school he decides to add one-to-one lessons; and he also chooses to change his accommodation from an apartment to a host family; and he also chooses to book some additional excursions in advance. Not a big thing to imagine, right? But it can sometimes turn into quite an ordeal to organise and keep track of everything. As usual, Intrinsiq can make your lives much easier thanks to their diary-like system.

How does this work?

Such changes involve different people in different departments at the school, and being a very busy environment, it is not always easy to remember who said what to who and when. Intrinsiq makes sure that schools get to store all their student data chronologically in one place, and this also includes correspondence that took place prior to booking. 

Just like a diary or a journal!

This means that you will be able to follow a student’s journey from the moment they establish contact with you...just as if you were reading a diary or a journal. This means that any member of staff can have access to the diary section of the school management system and pull out the student’s file. This ‘virtual’ file will include email correspondence, SMS correspondence, notes written by other members of staff about the student, including any problems he or she may have had before or during their stay with you.

Why does this method work?

The idea behind using this methodology is that it creates a chronology and hence, a story. This means that if something happens at school and a member of staff needs to pull out a student’s file, they will not only know what happened in the various departments the student came in contact with, but also the chronological order in which these said events have happened.

As a result, the picture of what happened would be much clearer and easier for everyone to understand, making this a much more efficient way of handling things.

The Diary feature is available on Accommodation, Students and Agent entries. Each department gets to share the same features and a similar screen. Users can add their own entries in a really simple way just by clicking “Add”. When a user adds a diary entry (or edits an existing entry) they can choose to make it available for review or alert a staff member in order to enhance communication and efficiency.

Members of Staff receive a notification on their Intrinsiq dashboard whenever there is a diary entry that requires their attention

Once a member of staff enters a note into Intrinsiq about a particular student, they can choose to leave that note in the student’s file, or they can choose to alert a member of staff about it depending on how urgent the situation is and what kind of action needs to be taken about it. If you select a staff member in the “Alert Staff Member” box, it will immediately show up on your colleague’s dashboard as a notification. If you select a staff member and a date it will only show on and after that date. This means that you can post-date your notes to make sure you don’t forget anything!
