How it Works – Dynamic Emails

Welcome to another edition of 'How It Works' with Intrinsiq! We're excited to introduce our new feature: dynamic emails. Email templates allow your staff to communicate with students, host families, agents, parents, and throughout the school speedily. With our new dynamic emails setting up these templates is effortless. 

Step 1: Run Your Search or Report: Start running your search or report as you normally would. 

Step 2: Select Recipients: Choose all recipients or manually select the ones you want to send the email to. 

Step 3: Click on Emails > Dynamic Emails 

Step 4: Insert Dynamic Fields: Use the available fields on the right-hand side to personalize your emails if needed or let the system pre-load the template for you. 

Step 5: Select or Write a Template: Choose a pre-existing template or write a new one. 

Step 6: Attach Documents: Upload any necessary files, including pre-existing dynamic Word document templates, to include with your email. 

Step 7: Preview: See how the final email will look by clicking the review button next to the recipient list. 

Step 8: Save: If saving the template for future use click ‘Save as’ - Type in the name of the template and click save.

Step 9: Send: Review your email and send it confidently, knowing it’s tailored to your recipient.

Benefits

Unlimited Customizable Templates 

With this new feature, you can create multiple email templates speeding up the communication process. Templates can be tweaked and modified before sending to reflect the recipients; modified versions can be saved to overwrite older ones or can be saved under a separate name if they will be used frequently.

Automated Fields

Intrinsiq helps you to automate email personalisation with dynamic fields, conveniently located on the right-hand side for easy use, reducing manual input and errors. This ensures accurate, personalised communications, freeing you to focus on engaging with your audience rather than administrative tasks.

Attachment Management

The new Dynamic email function allows you to attach Word or PDF Document templates already stored within the IQ system and attachments directly from the peripheral you are working on. 

Enhanced Tracking and Reporting

When sending in bulk you can monitor as each email is sent to each recipient, once all the emails are sent you can export the list of recipients together with their statuses for reporting purposes.

Integrated Access

For ease of access, we have conveniently placed the dynamic email feature within all your dashboard entries, searches, and reports to help manage tasks effectively, maintaining a smooth, organised workflow.
