Client Success Story: Deakin’s Switch to Intrinsiq
When Deakin University English Language Centre needed to replace its old system, the team turned to Intrinsiq (IQ Schools). We spoke with Lisa Yao, Project Lead, about their migration, training, and the results they’ve experienced since going live.
What was your experience like with data migration?
Lisa described the migration as smooth and stress-free:
“It was seamless… I didn’t even have to reach out to the Ebcas developer. It was just done.”
Thanks to prior migration experience and close collaboration between Deakin’s IT colleagues and Intrinsiq, all data was transferred without disruption.
How did your staff find learning the new system?
While there was a short adjustment period, the system quickly proved to be easy to use:
“IQ is quite user-friendly… Mark supported us with training, and I created easy-to-follow work instructions for staff, teachers, and students.”
Rolling out the system in phases meant staff and students had the right support at each stage, leading to a smoother transition.
Was switching worth it in the end?
Lisa was quick to answer this one:
“Definitely worth it. The improvement in efficiency and productivity is amazing.”
Processes that once relied on downloading, uploading, and manipulating spreadsheets are now completed entirely within Intrinsiq — saving staff significant time and reducing student enquiries.
What surprised you most after switching?
The biggest surprise was the scale of efficiency gains:
“Teachers can see everything from one portal, and students can check timetables, scores, and attendance themselves. The number of enquiries to my team has dropped dramatically.”
This has freed staff to focus on higher-value tasks.
What made you finally decide to switch?
The switch became necessary when Ebcas was no longer supported on-premise. After comparing options, Intrinsiq stood out:
“IQ came with strong references, proven data migration experience, and integration with Calista. It was clearly the best option.”
Cost-effectiveness and reliability were also decisive factors.
How was the transition process for your team?
As with any system change, there was some initial resistance, but support and leadership helped the team adapt:
“Of course some staff compared it to the old system, but I kept reminding them to look at the bigger picture. IQ can do so much more… and Mark was always there to respond to queries.”
While teachers initially missed the flexibility of spreadsheets, ongoing training and adjustments ensured a smooth transition overall.
Do you feel the investment has paid off?
Lisa confirmed the investment has been worthwhile both operationally and strategically:
“Yes, it has definitely paid off. Processes are streamlined, efficiency has improved, and human error has reduced significantly.”
She also highlighted the security benefits:
“It’s a safe environment and a one-stop system for all our stakeholders.”
The difference Intrinsiq made
Throughout the conversation, Lisa emphasised the importance of Intrinsiq’s responsive support:
“The level of service Intrinsiq offers is top level. You’re very responsive, and always come up with a solution.”
So much so, she has already recommended Intrinsiq to colleagues at other universities.
In summary: For Deakin, switching to Intrinsiq has been seamless, transformative, and a smart investment in both efficiency and student experience.
